    A custom GPT can use tailored instructions and uploaded reference files.4 Give a generic farm helper only approved everyday procedures, such as where to report an equipment fault. Test questions with missing details and instructions that conflict. Make the helper direct staff to a supervisor when the procedure does not answer them. Personal plans such as Plus and Pro cannot create new GPTs, and OpenAI plans to retire custom GPTs for plugins, so check your workspace type before you build.7

    If your workspace permits an appropriate connected app, practise retrieving a supplier file from the authorised account. Apps, formerly called connectors, vary by plan and settings.6 Check the file date before drafting a query to the supplier. Restrict the exercise to retrieval; the owner should approve any external communication.

Check a purchasing question from start to finish

  1. Export a small approved purchasing table and record the unit and meaning of each field.
  2. Request a grouped summary, a list of missing records and the working behind the totals.
  3. Compare the analysis with the source ledger and investigate unexplained entries with the bookkeeper.
  4. Write the decision separately from the analysis and retain the reviewed calculation for later use.
