Farming and horticulture in Southland

Start with an office problem that has a known answer. In a fictional Gore farm business, a feed purchase export contains inconsistent product labels and a missing unit. The group asks ChatGPT to find those problems before attempting a comparison. Participants keep the raw export and explain each correction in a separate record.

There is local evidence of digital farming work: SenseHub's account of Jach Farms describes an upgraded herd monitoring system and team use of the information. That supplier account concerns monitoring technology, and does not show adoption of ChatGPT. Our exercises build business analysis skills without claiming a local chatbot success story.3

Paid employees in farming and horticulture went from 8,315 in February 2020 to 7,783 in February 2025 (−6.4%).

Local context

  • Environment Southland's farm planning resources offer public documents for practice before a business considers uploading its property records.11
  • A Gore-based forest management office sits within Southern Forests' operations. Its owner-reporting and mapping work gives rural teams another useful setting for learning to organise information.22

Where ChatGPT helps farming and horticulture teams

  • Investigate a farm cost export

Use data analysis on a synthetic purchases sheet. Request a list of unusual entries, then a chart with the unit stated on each axis. Recalculate a selected subtotal outside ChatGPT and reconcile it with the original rows. Stop the comparison if quantities, dates or product categories are unclear. This makes errors visible before anyone reads the chart as business advice.5

    • Owner or bookkeeper
    • Data analysis and uploaded spreadsheets
  • Keep a seasonal planning Project

Create a Project around a seasonal office task, with approved reference files and instructions. For a hypothetical grower, gather delivery notes and a packing vocabulary. Ask for a weekly list of questions for the supervisor. Record confirmed answers in the source material so a later draft can distinguish an agreed change from an earlier suggestion.4

    • Rural office coordinator
    • Projects with files and instructions
  • Configure a contractor-message GPT

If your managed workspace permits creation, build a custom GPT that turns rough job notes into a draft request. Specify fields for site, work requested, access questions and exclusions, and instruct it to flag absent information. Try contradictory notes and verify that the GPT asks for clarification. An authorised person checks the scope before the draft goes to a contractor.6

    • Farm manager
    • Custom GPT instructions and knowledge
  • Find an approved office document

Where the workspace permits connected apps, practise finding a designated supplier document. Open the returned source and check that it is the revision you intended. Give the exercise a narrow folder scope and a clear access owner. Connected apps are currently the vendor's term for capabilities that teams may know as connectors.7

    • Business administrator
    • Connectors and connected app document retrieval
  • Supervise a public research task

Where available, use ChatGPT Work for a bounded public farm-planning research task. Specify the sources and request unanswered questions with the brief. Inspect the linked material before relying on it. OpenAI now marks agent mode unavailable, so check Work access rather than teaching the retired mode. Keep forms, purchases and farm-system changes outside this exercise.8,10

    • Rural business owner
    • ChatGPT Work agent research

Check a proposed spreadsheet comparison

  1. Provide a fictional export with a written explanation of the units.
  2. Request a data-quality report before asking for trends.
  3. Check the rows behind a selected chart against the source sheet.
  4. Write the remaining limitations beside the final comparison.

Farming and horticulture in Southland: questions

Must we share real herd data?

A fabricated farm sheet is enough to practise the checking method. Replace it with approved business data only after the team agrees on handling and access.

Can a grower use these exercises?

Use the same investigation steps on packing, purchasing or delivery records, with crop-specific units supplied by the grower. The demonstration is a generic scenario.

What belongs in a reusable GPT?

Choose a narrow office task with explicit output fields and missing-information rules. The GPT builder supports instructions and reference knowledge for that purpose.6

Is workplace delivery available locally?

TheColab can run training at a Southland farm office or meeting space. Have the person who approves business records join the practical exercises.

What if our account cannot create a GPT?

Personal accounts cannot create new GPTs under the current guidance. Use Project instructions for the draft task and check the announced GPT retirement before a rollout.4,6
