Education in Otago

Otago education includes a Dunedin university campus and a local vocational provider with published GenAI policies. The University of Otago's staff procedures address induction, data classification and system approval. Otago Polytechnic gives assessment-specific guidance a central place in its policy. These are practical constraints for any staff training task.1,2,3,4

Consider a generic Cromwell training team preparing a fictional short course. Staff assemble cleared learning aims and a public reading. They ask for draft practice questions, check the answers themselves and decide whether the wording suits learners with different levels of prior knowledge.

Paid employees in education went from 11,194 in February 2020 to 11,367 in February 2025 (+1.5%).

Local context

  • Enterprise Dunedin includes skills and talent among its economic-development themes. That gives workforce learning a local context, while each education institution retains control over its approved tools, learner information and assessment decisions.55

Where ChatGPT helps education teams

  • Plan a resource set in a Project

Projects keep references and related chats together. For a fictional course, supply the approved aim, reading and resource brief. Ask ChatGPT to propose an outline with questions for the tutor where context is missing. Check that every activity teaches the intended skill and that the draft does not introduce subject claims beyond the available evidence.7

    • Teaching team coordinator
    • ChatGPT Projects
  • Test a resource-format helper

Reusable instructions can define a recurring preparation task, whether they sit in a Project or a custom GPT. Build an internal helper that places tutor-supplied content into an agreed practice-resource format. Test a request with no reading attached and another with conflicting goals. The helper should ask for clarification. Educators still approve the topic, examples and answer key before learners receive the material.6 OpenAI has announced that custom GPTs will be retired and moved to plugins; check the institution's workspace before building one.9

    • Learning designer
    • Reusable instructions (Projects or plugins)
  • Question fictional course administration data

Data analysis can explore a structured file supplied for practice. Use invented enrolment categories and attendance entries to learn how missing values affect a report. Ask for the calculation method and compare it with a checked spreadsheet. Discuss which patterns justify a follow-up question, while avoiding individual learner judgements or claims about causes the file cannot prove.6

    • Education administrator
    • ChatGPT data analysis
  • Retrieve a permitted staff reference

Where the institution enables a supported connected app, test access to a cleared staff document collection. Ask ChatGPT to locate the source relevant to a fictional administration question. Check the date, owner and passage yourself. A connector exercise should stop if it retrieves material outside the agreed scope, and the administrator should correct that access before further practice.8

    • Connected apps and connectors

Prepare checked practice questions

  1. State the learning goal and provide a cleared reading.
  2. Ask for draft questions that stay within that reading.
  3. Have the tutor prepare and verify the answers independently.
  4. Revise questions that are ambiguous or rely on unsupported information.
  5. Confirm the resource's status and permitted use before sharing it.

Education in Otago: questions

Is this training for students or staff?

These examples are designed for staff who prepare resources or manage education administration. Student use needs separate institutional approval, suitable accounts and course rules. The staff session can proceed with fictional examples without making a decision about learner access.

Can ChatGPT decide what AI use an assessment permits?

The assessment owner must decide that. Otago Polytechnic's policy asks staff to give clear written guidance for each assessment. A tool can help draft an explanation from approved instructions, but its output needs checking against the decision already made.4

What should we do with a plausible wrong answer?

Keep it as a teaching example for the staff group and trace the error back to the reading. Adjust the prompt or the activity, then check again. A resource is ready only when a knowledgeable educator has verified the answer and the question's purpose.

How do you support teams across Otago?

We can come to a campus or education workplace, or use remote delivery to bring dispersed staff together. Public workshop days may fit smaller groups. Prepare an approved learning or administration task and identify who can review it before arranging the session.
