Health in Otago

Mercy Hospital's published services place surgical, cardiac and oncology care in Dunedin. Dunstan Hospital's outpatient information describes care in Clyde and chemotherapy access for Central Otago and Upper Clutha. A provider's office needs accurate service material across these different settings, which makes source checking a practical learning goal.1,2

Imagine a generic Alexandra service office preparing an internal activity report. The workshop uses fictional counts in a synthetic dataset and an answer key made by the organiser. Participants investigate the table, explain limitations and draft commentary that the manager can compare with the checked result.

Paid employees in health went from 12,871 in February 2020 to 14,550 in February 2025 (+13.0%).

  • Otago-linked healthy-ageing AI research is described in a university announcement. Its assessment project includes a Christchurch-based lead. It shows research activity, but cannot establish local approval of ChatGPT or demonstrated results for a provider's office.33

Where ChatGPT helps health teams

  • Analyse a fictional service activity file

Data analysis can examine a structured upload. Use a synthetic table to practise identifying missing categories and comparing recorded activity across reporting periods. Ask ChatGPT to show its calculations and explain exclusions. A manager checks against the answer key before drafting conclusions, and keeps small or ambiguous groups out of any public interpretation.5

    • Service reporting administrator
    • ChatGPT data analysis
  • Keep public references in a Project

Projects combine related files, chats and instructions. Build a training Project containing cleared public service descriptions and an approved writing guide. Ask for a draft information note with unanswered service questions listed below it. The coordinator verifies the intended audience and contact routes, then sends unresolved content to the person who owns that service information.6

    • Service communications officer
    • ChatGPT Projects
  • Test an administration helper

A custom GPT can hold instructions and reference files for repeated preparation work. Prototype an internal helper for fictional purchasing requests in a Project or a custom GPT, asking it to identify missing approval details. Test vague and unsupported requests before sharing it. Keep the helper away from patient records and ensure its answer points to the approved process rather than inventing a manager's approval.5 OpenAI now plans to retire custom GPTs in favour of plugins, so check the organisation's workspace before building one and keep the instructions portable.7

    • Practice or facility manager
    • Reusable instructions (Projects or plugins)
  • Inspect a public document upload

Use file upload to question a public service document. Participants ask ChatGPT to identify unclear instructions and suggest questions a reader might have. They check each finding against the source page and decide whether it is an actual problem. Rewrite only after the service owner confirms the meaning, particularly where the wording could be read as clinical advice.5

    • Quality improvement coordinator
    • ChatGPT file analysis

Draft commentary from a synthetic report

  1. Prepare fictional reporting data and an independently checked result.
  2. State the definitions and exclusions in the prompt.
  3. Ask for a calculation table before requesting prose.
  4. Compare the table with the answer key and resolve differences.
  5. Approve the final commentary with the manager who owns the report.

Health in Otago: questions

What sample data should our team prepare?

Create fictional records that reproduce the reporting problem and can be checked without accessing a patient system. Include a known error so participants can practise finding it. The organiser should prepare a verified answer before the group asks ChatGPT to analyse the file.

Can this help a community service office?

Community teams can practise public information, purchasing preparation and non-clinical reporting tasks. Choose examples relevant to their service and appoint a content reviewer. The session does not need personal case notes to teach good prompting and evidence checks.

Does a shared Project make all material suitable?

Sharing is an access decision, not a clinical approval. OpenAI documents Project member access and workspace-dependent controls. Confirm the permitted content and membership before creating a team Project, then check who can see its reference files.6

How can dispersed Otago staff attend?
