Structured file analysis and charts are documented capabilities.4 Request the calculations and a list of excluded rows before the narrative. A reporting lead reconciles the totals and checks whether a change reflects data entry, reporting boundaries or an operational issue worth investigating.

Projects preserve related files and context across conversations.5 Ask for a draft explaining a booking or referral administration process, with unanswered details listed separately. The service owner checks the path and contact information before publishing; a clinician reviews any sentence that carries health advice.

Build a staff-learning GPT
Configure a custom GPT with a non-clinical induction guide and instructions to use invented situations. OpenAI supports specialised assistants with reference files and tailored behaviour.4 Ask it to create questions about facilities requests, document versions and escalation contacts. An experienced staff member verifies the answers and removes any instruction outside the guide's scope before trainees use the material. Personal ChatGPT accounts can no longer create GPTs, and OpenAI has announced custom GPTs will be retired for plugins, so confirm your organisation's workspace supports this first.10

Find approved administrative guidance
Trial a connected app only where the organisation permits that service and information. ChatGPT apps can retrieve authorised documents under workspace controls.6 Search for a current administrative guide and show the file location, owner and relevant section. Check the original before applying it. Use a prepared public document set if connecting the internal library has not been approved.

Reconcile a synthetic monthly report

- Ask ChatGPT for totals, exclusions and a neutral draft commentary.

Use a public service description or a fabricated funding-report table. Keep the first exercise narrow enough that the service manager can check every result and identify any missing context before staff reuse the prompt.
Is removing a name enough to prepare records?
A combination of dates, locations and narrative details may still identify someone. Ask the privacy lead to approve the preparation method. The health code covers identifiable information, not just a person's name.3
Does data analysis explain why demand changed?
It can organise figures and propose questions, but the reporting owner must investigate causes.4 A synthetic exercise should teach staff to distinguish a supported observation from a plausible explanation that needs further evidence.
What does the rollout session add?
Managers can define permitted documents, reviewers and connection owners. Apps have separate service permissions and workspace settings.6 Include privacy and systems staff so any proposed workflow has a specific data decision and maintenance owner.
