Health in Taranaki
Take a fictional Waitara clinic preparing a new reception information pack. The administrator needs a plain-language sheet, a checklist for incomplete form requests and a summary of made-up enquiry categories. We teach each task with a clear input, a defined reviewer and an explicit rule for unanswered questions.
TheColab travels to Taranaki health and social service workplaces for practical ChatGPT training. Start with the administrative team and its approved tool policy. Choose public service material or fictional records so staff can learn how to inspect a response before any decision about operational information is made.
Paid employees in health went from 5,784 in February 2020 to 6,799 in February 2025 (+17.5%).

Local context
- Tui Ora's public GP page lists clinics in New Plymouth and Waitara and routine services such as appointment booking and medical paperwork. These establish local administrative tasks, without implying a relationship with TheColab.11
- Hāwera Hospital lists outpatient, rehabilitation and social-work services. Training can therefore include coordination between office roles while leaving clinical interpretation with the appropriate health professional.22
Organisations are named for local context only. No relationship with them is implied.

Where ChatGPT helps health teams
Draft an approved information sheet
Put public service instructions and a plain-language brief into a ChatGPT Project. Project files and instructions provide context for related drafts.5 Ask for a reception sheet that preserves the source meaning and highlights omitted information. A service owner checks contact routes and a clinician reviews any health statement before the sheet is approved for patients.

Test a forms checklist assistant
An eligible managed workspace can configure a custom GPT with instructions and selected reference files. OpenAI has announced GPT retirement and a move towards plugins.6 Use a fictional paperwork request to practise returning an administrative checklist. Exclude medical eligibility judgements and preserve the approved rules independently so a later replacement can be evaluated against the same examples.
- Reception supervisor
- Custom GPTs
Explain administrative enquiry trends
Use data analysis on a fully invented table of enquiry categories and completed office tasks. Spreadsheet calculations and charts are supported.7 Require a record of missing categories and a reconciliation to the input. Discuss how the grouping changes the story. The analyst must not interpret a pattern as a clinical finding or a judgement about individual patients.
- Service reporting officer
- ChatGPT data analysis
Find the current staff guide
Where an approved connected app is available, practise locating a non-clinical staff guide in a restricted sample library. Apps can retrieve information from authorised services.8 Check the returned link and document version, and test what happens when the guide is missing. Avoid connecting patient repositories as a shortcut for this training task.

- ChatGPT connectors and apps
Check a reception information draft
- Choose an approved public instruction and describe the intended reader's question.
- Ask ChatGPT to draft the answer and mark every detail the source leaves unspecified.
- Compare the wording with the original and obtain service-owner or clinical review where needed.
- Store the accepted sheet in the approved publication location with its review owner.

Health in Taranaki: questions
Can we practise without patient information?
We can create a fictional enquiry and use public service instructions. The goal is to learn source checking and escalation, so no real appointment record is required.
Does a managed workspace approve health-data use?
A workspace is a product setting, not your organisation's privacy approval. Assess the proposed information flow and applicable health-code requirements before deciding whether operational data belongs there.3,4
Can the session cover funding reports?
Use made-up aggregate activity rows and ask for a report structure and reconciled calculations. ChatGPT data analysis can support the exercise, while the funding owner defines the categories and checks the result.7
Will the same staff assistant remain available?
Custom GPT access depends on workspace settings, and OpenAI has published migration notices. Keep the approved content and test cases separate from the tool so your service can review a replacement.6
