Upload a fictional job-cost export with clear columns for status, cost category and job reference. Ask ChatGPT data analysis to identify incomplete records and group the outstanding items. Inspect its code-backed calculations and reconcile a selected job manually. Use the resulting table to prepare an estimating discussion, rather than allowing the model to decide the charge or allocate blame.7

Build a quote-preparation GPT
Where managed-workspace permissions allow it, configure a custom GPT with an approved quote format and the questions your office must ask. A generic rural servicing job can test whether it seeks the equipment model, work location and expected output before drafting. Review a case with missing details as well as a complete request. Keep pricing and commitments subject to the owner's approval.6 OpenAI has announced that custom GPTs will be retired and their workflows moved to plugins, so keep the approved quote format and test questions in a portable document.9

Retrieve the document behind an enquiry
An authorised connected app can help staff locate a permitted supplier document or project file. Ask ChatGPT for the reference first, then use it to draft questions about an installation requirement. Open the retrieved file and check its revision yourself. The coordinator should send a clarification request only after the technical lead confirms that it accurately describes the issue.8

Current OpenAI guidance limits new custom GPT creation to eligible managed workspaces with permission. Check the attendee's access before booking a GPT-building exercise. Project instructions provide another way to practise a repeated office task.5,6 OpenAI is also moving custom GPT workflows to plugins, so check its current retirement notice before investing in a GPT rollout.9
Will ChatGPT price a job accurately?
Let it organise the costs and questions you provide, then have the estimator verify the underlying entries. Data analysis can produce a useful table, but it cannot know an omitted allowance, unrecorded site condition or unresolved supplier quote.7
