Who it is for
HR advisers, office managers who handle people matters, and team leaders who write rosters, inductions and staff updates.
HR work is full of writing that has to be careful, fair and clear: position descriptions, policies, induction packs and difficult letters. ChatGPT is good at the first draft and at making dense policy readable. It must not make decisions about people.
Imagine a Whangārei aged-care provider that needs an induction pack for new carers in plain English. A Project holds the existing policies, the roster rules and the health and safety procedures. ChatGPT drafts the pack and a short quiz, and the clinical lead and the HR adviser review it before use.
Employee information is personal information under the Privacy Act 2020. Employment decisions also carry obligations under employment law. We cover what to keep out of ChatGPT and where a person must stay in charge.
Before you start: A ChatGPT account for each person. Any plan can share a Project, but we recommend a Business workspace for the new-starter Project, so your admin controls who can join and how the data is handled.

- Surveys and feedbackTheme anonymised engagement survey comments with data analysis, then read a sample of originals to confirm the themes.
- Rules for people dataWhat never goes in, what may go into a workspace under your policy, and why ChatGPT should not screen, rank or score candidates or staff.

Can we use ChatGPT to shortlist CVs?
We advise against it. Screening people with a general chatbot raises fairness and privacy risks, and you would struggle to explain a decision. Use it for the job ad, not for judging applicants.
