Choose an account arrangement before a model
ChatGPT Business is OpenAI's self-service team workspace with central billing, administration, and Standard or Premium seats. Both seat types include ChatGPT, ChatGPT Work and Codex.1 Enterprise adds managed controls and contract-dependent arrangements.3 Decide whether those controls match your actual obligations before comparing the quality of model answers. A good response from an unsuitable account does not solve a governance problem.
For a team of five to fifty people, list roles rather than assuming every employee needs a subscription. Include the owner, office manager, sales staff and anyone who will review AI-assisted work. Record the task, information involved and frequency of use for each role. Keep the buying decision separate from employment headcount: a field crew may need access to approved outputs while only the office team needs paid capacity.
OpenAI renamed ChatGPT Team to ChatGPT Business in 2025.2 Use Business in your purchase records and staff instructions. Check that older advice still describes the current product. The Business overview now distinguishes purchased seat capacity from the member assigned to it.1 Your register should therefore track both people with access and capacity that remains on the bill.
Where Free, Go, Plus and Pro fit
Free, Go, Plus and Pro are personal ChatGPT plans. Their data controls can let the user turn off Improve the model for everyone under Settings, then Data controls. That change stops new conversations being used for training, while keeping them in history.5 It is useful for an individual, but a personal setting is different from a company-managed membership and purchasing arrangement.
Use public material or fictional exercises when assessing personal accounts. A shop owner can practise rewriting an already published product description without uploading customer orders. If several people start using individual accounts for ongoing company work, identify the records that must remain accessible when someone leaves. Do not build a customer service process around private chat histories that only their authors can manage.
Avoid buying Pro solely because you expect it to provide Business administration. OpenAI's Business FAQ identifies Premium as a Business seat type, distinct from a personal Pro subscription.2 If someone hits usage limits, investigate the task and allowance inside the proposed workspace first. A larger personal subscription does not answer your questions about membership, sharing or central spend management.

- Treat an employee's personal subscription and a company seat as separate purchases.
Assess Business Standard before adding Premium
The current Business overview lists Projects, Apps, Company Knowledge and deep research among Standard seat capabilities. Premium offers the same access with higher usage limits. A workspace can mix these seat types and requires at least two paid seats in total.1 Start the trial with the capacity needed for defined tasks. Increase an allowance when measured use justifies it.
Ask pilot users to record blocked tasks and the reason. A missing app permission, a poorly prepared file and an exhausted allowance need different fixes. Before upgrading, have the administrator confirm the user's assigned seat and active workspace. Keep the record brief enough to use during normal work. Include the outcome and whether another person could approve it without extensive repair.
Only workspace owners can purchase or change paid seat capacity; administrators can manage routine invitations. Removing a member makes their seat available for reassignment but does not reduce the paid count. Reductions take effect in the next billing cycle.2 Assign ownership of the bill to someone who can make those changes. Include that person in the staff departure process so access removal and subscription adjustment both happen.

- Confirm a reduced seat count in the billing settings after a trial ends.
Consider Enterprise when a requirement needs a contract
Enterprise includes features such as domain verification, SSO and SCIM provisioning, with access and billing dependent on the organisation's agreement.3 Business also supports SAML SSO according to OpenAI's business-data page.4 Do not use SSO alone as the dividing line. Write your requirements in plain language: who joins, how access ends, which tools each group can use and which records you must inspect.
Automatic provisioning, custom roles, stronger compliance requirements or negotiated retention may justify an Enterprise discussion even for a small firm. OpenAI lists custom role controls for Enterprise and describes retention options for qualifying organisations.4 Ask the supplier to map each requirement to a contractual commitment and an available control. Keep unanswered requirements visible; do not treat a sales demonstration as confirmation that your workspace has them.
The Business overview directs organisations needing invoice billing, purchase orders, bank transfer or other sales-led terms to a contracted offering.1 If your accountant or client contract requires those arrangements, raise the issue before a pilot turns into a broad subscription. Obtain the proposed order form and have the responsible manager compare it with the requirement list.
Review privacy and overseas processing separately
OpenAI states that Business and Enterprise inputs and outputs are excluded from model training by default.4 This does not establish a retention period, a New Zealand storage location or permission to enter every customer file. Prepare a privacy impact assessment for the intended workflow. The Privacy Commissioner expects senior approval, an assessment and human review for generative AI adoption.9
Under the Privacy Act 2020, overseas disclosure rules require assessment of the recipient and applicable safeguards.10 The Commissioner explains that sending information to an overseas agent solely for storage or processing is treated differently from disclosure for that party's own purposes.11 Have your privacy officer examine the actual contract, processing roles and connected services. Avoid the blanket claim that every foreign cloud upload automatically triggers the same test.
OpenAI's published residency options include Australia for eligible Enterprise and API customers; the page does not list New Zealand or include Business among those eligible ChatGPT plans.4 If local storage is essential, obtain a specific answer before buying. Also check each connected app's terms: information shared with an app is handled under that provider's terms and privacy policy.7

- Check the service provider's purpose for receiving personal information.
- Keep sensitive uploads out of the pilot until the responsible manager approves that use.
Confirm the features your trial will actually use
Projects let a team organise related chats, files and instructions, and project sharing is available across ChatGPT plans subject to the product's controls.6 Test a shared project with the staff who need it. Ask an ordinary member to open the source file and complete the task. Demonstrating a feature while signed in as the owner does not show what everyone else will be able to do.
For connected services, the current documentation uses Settings, then Plugins, to manage an app or its containing plugin. Some older mobile interfaces still show Apps.7 Administrators can review workspace plugins in Admin Console. Business app access is enabled by default, with administrators able to change it.8 Review those defaults before staff connect a mailbox or document store.
Check reusable workflows against the current custom GPT migration notice. OpenAI recommends moving affected GPT workflows to Plugins and says rollout and account notices determine available migration options.12 Ask your trainer to demonstrate the current workflow in your workspace. An old course outline that promises new personal-account GPT creation needs to be checked against the present rules.
Worked decision: a Nelson professional practice
Use this hypothetical purchasing exercise. An eight-person Nelson consulting practice wants proposal drafting, meeting preparation and analysis of approved project data. It has a director, an office manager and consultants with different workloads. The firm starts by listing the deliverable each person would produce. No claimed savings or invented client results form part of the business case.
The director selects Business Standard for a small pilot group because the requirement is a managed shared workspace. The office manager checks access to a project containing a fictional brief and an approved proposal template. A consultant checks whether the draft preserves exclusions and whether source data reconciles with a separate spreadsheet. Reviewers write down correction work as well as successful output.
At the review, the director considers Premium only for a participant whose useful tasks repeatedly meet an allowance limit. If the firm's client requires automated deprovisioning or a negotiated retention term, the director obtains an Enterprise proposal before admitting that client's records. Other staff join when they have an approved task and training. The decision rests on tested needs, rather than the size of the team.
Approve a budget and a useful exit route
Request a current checkout or quote for the chosen billing term. Record the displayed currency, tax treatment, renewal conditions and any separate usage charges. Keep foreign-exchange assumptions visible in the internal budget. This guide avoids a fixed dollar estimate because the final charge depends on the purchase arrangement. Have the accountant verify the expense treatment that applies to your business.
API use is billed separately from a ChatGPT Business subscription.1 Put application development on a distinct budget line if that is in scope. Include training, administration, source maintenance and review effort in your decision. The NCSC's small-business guidance recommends checking vendor data practices and understanding the response process for an AI incident.13 Assign someone to own that process during the trial.
Before merging personal workspaces, read the migration guidance. The Business FAQ states that the supported migration cannot be undone into a personal workspace and that self-service data export is unavailable in Business.2 Keep final approved work in your established document system.
