ChatGPT for trades: quotes, variations and health and safety paperwork

Trade businesses lose evenings to paperwork: the quote that has to go out tonight, the variation nobody wrote down, the safety analysis for tomorrow's roof job. ChatGPT can draft all three from a voice note or a site photo. The owner still decides the price, the scope and the controls.

Why the office work matters as much as the tools

In a trade business, disputes rarely start on the tools. They start with a quote that said one thing and a client who remembered another, or a change agreed on site that never reached the invoice. Safety paperwork follows the same pattern. The work was planned in someone's head, but nothing written shows it.

The law expects that writing. Under the Health and Safety at Work Act 2015, a person conducting a business or undertaking (PCBU) must ensure, so far as is reasonably practicable, the health and safety of workers and that other people are not put at risk by its work1. That duty includes safe systems of work and the information, training, instruction and supervision workers need1. Residential building work has its own written rules about contracts and variations5. ChatGPT does not change any of this. It makes the writing faster, so it is more likely to happen.

Set it up once, on the right plan

Use a ChatGPT Business workspace for the business, not personal phones on Free accounts. On Business and Enterprise plans, OpenAI says it does not train on business data by default12. Client names, addresses and site photos are personal information in many cases, and the Office of the Privacy Commissioner expects businesses to keep personal or confidential information from being retained or disclosed by a generative AI tool11. A shared workspace also means the office manager can see the templates the crew are using.

Then build two things. First, a Project for each large job. A Project groups the chats, files and instructions for one piece of work so ChatGPT can use them together9. Put the plans, the specification, the signed quote and the client's emails in it. Second, a skill for each kind of standard document: one for quotes, one for variations, one for safety analyses. A skill is a reusable workflow that bundles instructions, examples and supporting files, and an admin can let members share it with the whole workspace10. Once a skill is installed, ChatGPT can pick it up whenever it fits the task10. Do not start new work in custom GPTs: OpenAI retires them on 11 December 20268.

  • Skill instructions: always write in NZ English, use our quote layout, separate labour, materials and margin lines, list exclusions, never invent a price.
  • Supporting files: current terms of trade, a sample of three good quotes, your standard exclusions list, your company safety procedures.
  • Run each skill on an old, finished job and compare its draft with what you actually sent, before you share it with the crew.

Quotes that say what is and is not included

A quote and an estimate are different things in law. Consumer Protection explains that a quote is a fixed price for the job described, and the trader cannot charge more once it is accepted unless the client agrees to extra work or the scope changes4. An estimate is a best guess, and as a general guide the final price should sit within 10 to 15 percent of it4. Many disputes come from a document that does not make clear which one it is. Tell the quote skill to label every document plainly as a quote or an estimate.

A worked example: a generic four-person Tauranga electrical business gets a request to rewire a 1960s weatherboard house. The owner walks the site and records a two-minute voice memo on the phone. Back in the van, the memo goes into the job's Project, and the quote skill gets a note: draft a quote with these rooms and fittings, our standard exclusions, and the assumptions we are making about the switchboard. ChatGPT returns a structured draft. The owner adds the prices from the supplier's quote and the labour estimate, reads the scope once more, and sends it.

  • Give ChatGPT the scope, the assumptions and the exclusions. Give it no prices you have not checked. Enter the numbers yourself.
  • Ask it to list every assumption as a sentence the client can read, such as existing cable in the ceiling is reusable.
  • Ask it to write the exclusions as their own list: making good, painting, council fees, asbestos testing.
  • Ask for a plain-English summary paragraph at the top for the homeowner.
  • Ask it what a client might misunderstand in the draft. Fix those lines before sending.

Variations, written the day they are agreed

The Building Act 2004 implies default terms into residential building contracts that do not cover them, including how variations are handled5. Where a written contract has no variation clause and the client asks for a change that affects price or timing, building.govt.nz says the contractor must respond in writing within 10 working days covering the work needed, any extra approvals, effects on the consent, price and completion date5. That is a lot to type on a ute bonnet. It is quick to dictate.

Open the job's Project on your phone and use the variation skill. Because the Project already holds the plans, the signed quote and the client's emails, the draft can name the right job and the original scope without you retyping them9. Read the draft, correct the details, then paste the final text into your normal quote or job software and send it from there for the client to sign.

  • On site: record what the client asked for, in their words, and what it changes.
  • With the variation skill: draft a notice with the job reference, description of the change, the effect on price and the effect on the finish date.
  • Ask it to flag anything that may need a consent amendment, so you can check with the council or designer.
  • Get the client's written approval before the extra work starts. Save the signed copy in the job Project and in your job management system.

Payment claims that follow the Construction Contracts Act

For construction contracts, the Construction Contracts Act 2002 sets out what a payment claim must contain. It must be in writing, identify the contract, identify the construction work and the period it covers, state the amount claimed and the due date, show how the amount was calculated, and state that it is made under the Construction Contracts Act 20026. A claim also has to carry the prescribed Form 1 notice for the client7. If the payer does not reply with a payment schedule within the time in the contract, or within 20 working days if the contract is silent, the payer becomes liable for the claimed amount6.

ChatGPT can turn a progress sheet into a claim with those parts in order. Upload the schedule of works as a spreadsheet and ask for a claim that shows each line's percentage complete and the arithmetic behind it. Check every line against the site. Then attach Form 1 from building.govt.nz yourself, unchanged. Do not ask ChatGPT to rewrite a prescribed form.

If you invoice from the same document, check the GST detail too. For supplies over the threshold Inland Revenue sets, taxable supply information needs your name, GST number, date, description and the amounts14.

Health and safety paperwork that reflects the real job

Safety documents fail when they are copied from the last job. ChatGPT can make that problem worse or better. Used badly, it produces a generic task analysis that lists every hazard in the industry and controls none of them. Used well, it starts from what the worker actually describes and asks the questions a good supervisor would.

WorkSafe publishes a job safety analysis template that breaks a task into steps, the hazards in each step and the controls3. Add that template to the safety skill as a supporting file so drafts follow its structure. Then describe the specific job: the site, the access, the weather, the people, the plant.

  • Ask it to break the task into steps first, then list hazards per step, then controls. Do not let it skip to a hazard list.
  • Ask what information is missing, such as ground conditions, overhead lines or who else is on site. Answer each question before you finish the draft.
  • Check every control against what you will actually do. Delete anything you will not do.
  • Brief the crew on the final version in person and record who attended. A document nobody read does not meet the duty to instruct and supervise1.

When something goes wrong on site

If a notifiable event happens, the first jobs are people and the site, not paperwork. WorkSafe must be told by the fastest means possible, and the PCBU must take reasonable steps to preserve the site until an inspector releases it, except to help an injured person, make the site safe or for other permitted reasons2. Records of notifiable events must be kept for at least five years from the date WorkSafe was notified2.

Afterwards, ChatGPT can help turn handwritten notes and photos into a clear incident record, and draft the review that follows. It should not decide whether an event is notifiable. Use WorkSafe's guidance and your own judgement for that call.

Site meeting notes that become actions

The weekly site meeting with the main contractor or the client is where most changes are first agreed. Afterwards, photograph the whiteboard or your notebook page, or type a few rough lines, and drop them into the job's Project. Ask ChatGPT for a short list of decisions, actions with an owner and a date, and anything that sounds like a variation. That last list is the valuable one. Each item on it should become a written variation before the work starts, not a surprise on the final invoice.

Send the action list to everyone who attended on the same day, while people still remember what was said. Ask them to reply with corrections. Their replies, filed in the Project, become part of the job record.

A checklist for the owner

MBIE's voluntary responsible AI guidance for businesses frames AI use as part of normal governance, privacy and security practice rather than a separate project13. For a small trade business, that comes down to a short list the owner can check each quarter.

  • Everyone uses the business workspace. No client details in personal accounts.
  • Every quote and estimate is labelled correctly, and every price was entered by a person.
  • Every variation is in writing and approved before the work starts.
  • Every payment claim says it is made under the Construction Contracts Act 2002 and has the Form 1 notice attached, unchanged.
  • Every task analysis was checked by the person running the job and briefed to the crew.
  • The files inside each skill are current: terms of trade, exclusions and safety procedures.

Can ChatGPT price a job?

It can lay out the lines and do arithmetic you ask for, but it does not know your supplier prices, your labour rates or the site. Enter every price yourself. A quote is binding once accepted unless the scope changes4, so a guessed number is a real cost.

Is a ChatGPT task analysis good enough for WorkSafe?

The document is only as good as the thinking behind it. The duty is to ensure health and safety so far as is reasonably practicable1, which means the controls must suit this job and actually be used. A draft from ChatGPT is a starting point that a competent person checks and the crew is briefed on.

Can the crew use ChatGPT on their phones?

Yes, through the business workspace on the ChatGPT app, signed in with their work account. Keep them off personal accounts for client details. The Privacy Commissioner expects businesses to stop personal information being retained or disclosed by these tools11.

Should we tell clients we used ChatGPT to draft a quote?

There is no rule that a quote must say how it was drafted. The Privacy Commissioner does expect plain-language openness about how a business uses generative AI with people's information11. A line in your privacy statement covers it.
